DUTIES OF COMMITTEE
At
all times the Committee members will do their best for the
members of its Association. The Welfare and Health of the
Utonagan always being the most important responsibility
of ourselves and our members.
We
commit by being on the Committee to providing our members
with a concise and professional registration board for All
Utonagans, building together a full and thorough record
of The Utonagan and its health and pedigrees. We also commit
to keeping future records for the benefit of our Breed.
We
commit to providing our members with a full event list through
the year with get-togethers, showing, barbecues, on-line
competitions and much more. We shall run shows throughout
the year that will accumulate points and which will be put
towards Annual Trophies for the Best Utonagan Exhibited
in the UK, there will be a prize giving at the Annual Championship
show.
We
commit to providing our members with a Stud Dog list of
good quality examples of the Breed. The register of Approved
Stud Dogs and Brood Bitches will be available to everyone,
all health checks and progeny health reports held by The
BUA available to prospective users.
Any
decisions made regarding members and their dogs will be
decided with a full vote of all BUA Committee members each
individual having one vote in the interim of a tie the Chairperson
may cast the deciding vote. All decisions will be recorded
and made available in a report with all relevant information
and opinions to the owner/member this regards.
We
commit also to listening to our members, any suggestions,
comments will be gladly accepted and should be put in writing
to any Committee member to be discussed at Committee meeting.
All
our members will be invited to take part in voting at our
AGM. Proxy votes by post or email WILL be accepted and all
postal voting forms and a copy of The British Utonagan Association
AGM - Agenda will be posted out a month before said meeting.
All decisions will be taken down in minutes and sent to
all members.
COMMITTEE MEMBERS : DUTIES
CHAIRPERSON:
Will oversee all decisions taken by the Committee.
Will chair all British Utonagan Association meetings and
if unable to attend will liaise with the Secretary as a
replacement.
Will hold the casting vote in the event of a tie when Committee
matters are to be voted on.
Will liaise with the Treasurer ensuring that there are funds
in the BUA Bank account and that the funds are being used
to the best interest of The Utonagan as a breed, The British
Utonagan Association and its members.
SECRETARY:
Will process all membership, registration applications and
will liaise with the Deputy Secretary and the Database manager
processing pedigree and health records .
Will liaise with the Deputy Secretary in the production
and record keeping of registration certificates.
Will ensure that members receive all documents, newsletters,
voting forms, event invitations .
Will collate matters for agendas, set out agenda along side
the Chairperson, then ensure all relevant parties receive
a copy 1 month prior to meeting, will keep all minutes at
all meetings and make them available to all members .
Will liaise at all times with Deputy Secretary in all duties.
Will process entry forms, catalogues.
Will accumulate and research information on all health issues
put into a format for all the members to peruse.
DEPUTY
SECRETARY: Will liaise with Secretary at all times.
Will process and create Pedigree certificates, will help
process registrations, membership applications.
Will liaise with Database manager ensuring all relevant
documentation is forwarded and checked.
Will source and report on merchandise and sales.
Will liaise with Treasurer to ensure that all cheques/postal
orders are forwarded and accounted for.
Will liaise with treasurer for the payments for venues,
event expenses, administration expenses.
TREASURER/DEPUTY
TREASURER : Will open a bank account for: The British Utonagan
Association.
Will keep account of all incoming and outgoing finances.
Will keep Committee informed about the funds, targets etc
of the BUA.
Will liaise with Deputy Secretary for expenses and income
ensuring a record of all transactions is kept.
Will make a copy of the annual accounts available for members
perusal at the AGM.
WEB
ADMINISTRATOR: Will create and update The British Utonagan
Association web site.
Will liaise with the Committee on content on the web site.
Will set up and update the online shows.
WELFARE
AND RESCUE: Will endeavour to set up fosterers and prospective
homes for any rescue Utonagans.
Will take applications and process prospective new owners.
Will organise Fund Raisers for Welfare and Rescue.
Will be available to any Utonagan in need of a new home,
and any owners that would like any advice.
DATABASE MANAGER: Will set up a concise database of all
health and pedigrees, so that the information will be freely
available to all our members.
Will liaise with the BUA panel in creating reports for discussion.
Will create test matings, health reports for the panel when
required.
Will liaise with Web Admin to eventually go live.
Will liaise with Professional Bodies to create reports and
collate information on behalf of the BUA.
NEWSLETTER
EDITOR: Will collate all reports and items for the newsletters
to put to publishing.
Will liaise with Committee any events, health issues, results
etc to be included.
Will liaise with the Events Administrator for any entry
forms or publicity for events to be included.
Will liaise with the Promotions and Marketing for any items
to be included in the publication.
Will liaise with Secretary for printing and distribution.
Will liaise with treasurer for expenses and accounts.
EVENTS
ADMINISTRATOR: Will organise all publicity, entry forms,
paperwork for all British Utonagan Association Events.
Will ensure trophy, rosettes prizes are all accounted for
by receipts for the treasurer.
Will publicise and generate the Annual Points trophy competition.
Will liaise with other organisers any paperwork etc required.
Will keep records of wins and awards for records and yearbook.
Will organise Stud/Brood awards for Championship Show.
Will Book venues for Shows and events.
PROMOTIONS
OFFICER : Will oversee merchandise and promotional material,
organising a stall and online sales.
Will source materials and liaise with the treasurer on the
purchase of Association Merchandise.
Will gather articles for the Utonagan Yearbook promoting
awards, achievements.
Will promote events and the Utonagan as a Breed.
All
Committee members will hold a vote on our
British Utonagan Association panel
which is the governing body that will give awards:
Stud Dog, Brood Bitch, Accredited Breeder.
All
Committee members will be asked their opinions on
Health Advice, Breeding advice.
And veterinary, BVA advice given will be documented.
This will be presented in a report and given to the member
enquiring.
The Committee is an advisory capacity but as an owner/breeder
you have the responsibility of using this advice to the
good and best interests of the Utonagan as a breed.
